What Kept in Touch collects, why, who it is shared with and the choices you have. In short: a brokerage’s data is its own, we never sell it, and texts go only to people who opted in.

Who we are
Kept in Touch (“we”, “us”) is software for real estate brokerages and their agents: a branded home-search site, a CRM, Nadia the AI inside-sales assistant, ListLogic pricing and Offers & Contracts. It is operated by Kept in Touch. This policy covers this website, the Kept in Touch apps and the services behind them.
Two kinds of people are in our systems. Customers are the brokerages and agents who sign up and use Kept in Touch. Their clients are the buyers, sellers and leads a brokerage works with, including people who use a brokerage’s home-search site. For client data, the brokerage decides what is collected and why, and we process it on the brokerage’s behalf. A brokerage’s own site has its own privacy policy at /privacy on its address.
What we collect
- Account details: names, work email, phone, brokerage name, license state and password (stored only as a one-way hash).
- Business details for texting: legal business name, business type, EIN, address and website, which carriers require to register a brokerage’s texting.
- Billing: handled by Stripe. We keep the customer and subscription references and the card’s brand and last four digits, never the full card number.
- CRM content: the contacts, notes, tasks, deals, appointments, texts, emails, call records and files a brokerage keeps in Kept in Touch or imports into it.
- Connected accounts: when an agent connects Google or Microsoft, the email and calendar data described under Google and Microsoft data.
- Site activity: on a brokerage’s home-search site, the homes and searches a visitor saves, views and alerts they ask for, and the details they type into forms.
- Usage and logs: pages and features used, device and browser type, IP address, and the delivery records of texts, emails and calls, kept to run, meter and secure the service.
How we use it
We use this information to provide the service a brokerage signed up for: show its site and CRM, send the texts and emails its agents approve, alert agents about leads, draft messages and documents with AI, bill for plans and usage, keep the service secure and answer support. We email customers about their account and, if they have not opted out, about product updates. We do not sell personal information, and we do not share a brokerage’s clients with any other brokerage, lead buyer or advertiser.
AI features
Nadia and other AI features send the context needed for a task (for example, a lead’s recent messages) to the AI model providers we use, such as Anthropic, under terms that do not let them train their models on that data. Nothing an AI drafts is sent to a client until an agent approves it, unless the brokerage has turned on a feature that sends on its own. A brokerage can ask us to leave its conversations out of the reviews we use to improve how Nadia writes.
Text messaging
Brokerages text their clients through Kept in Touch from numbers registered with US carriers. A client receives texts only after opting in (for example, by ticking the consent box on a saved-search form, or by texting the brokerage first). Message frequency varies; message and data rates may apply. Reply STOP to any text to stop and HELP for help.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties. We use mobile numbers and opt-in records only to send the messages the person asked for and to honor opt-outs.
Google and Microsoft data
An agent can connect a Google or Microsoft 365 account so that client emails appear on each person’s timeline, so that emails they approve go out from their own address, and so that appointments land on their calendar. With Google, Kept in Touch asks to read and send Gmail, create drafts and read and write calendar events; with Microsoft, the equivalent mail and calendar permissions. We read only what those features need, show it only to the agent and, where they choose, their team, and the agent can disconnect at any time in their profile, which stops all access.
Kept in Touch’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Google user data is not used for advertising, is not sold, is not read by people except with the user’s permission, for security, or to comply with law, and is never used to develop, improve or train generalized AI or machine-learning models.
Who we share it with
Only with the service providers that run Kept in Touch for us, each bound to use the data only for that purpose: hosting and backups (our own servers and Cloudflare), Stripe (payments), Twilio (texts and calls), Resend (email), AI model providers such as Anthropic, Google and Microsoft (when an agent connects them), the MLS a brokerage connects, and analytics a brokerage turns on for its own site. We also share information when the law requires it, to protect people or the service, or as part of a merger or sale of the business, with this policy still applying.
Cookies
We use cookies and browser storage to keep you signed in, remember saved homes and settings, and measure how the sites are used. We do not use them to show you ads elsewhere. Blocking cookies may sign you out or stop saved homes from being remembered.
Retention and security
Customer data is kept while the account is open. After a brokerage cancels, its data is kept for at least 90 days so it can come back or export it; when the brokerage asks, we then delete it, except records we must keep for tax, billing or legal reasons. Backups age out within about six months. Data is encrypted in transit, access is limited to the people who run the service, and each brokerage’s data is kept apart from every other brokerage’s.
Your choices and rights
You can see and change most of your information in the app. To get a copy of your data, correct it or have it deleted, email support@keptintouch.com. If you are a client of a brokerage, we will pass your request to that brokerage, which decides on it, and help it respond. Depending on where you live (for example, California or Colorado), you may have further rights to know, delete, correct and opt out; we honor them, and we do not treat you differently for using them.
Children
Kept in Touch is for adults buying, selling or working in real estate. We do not knowingly collect information from children under 13.
Changes and contact
When we change this policy we update the date above, and for material changes we tell customers by email or in the app first. Questions: support@keptintouch.com.
