Kept a Client by Kept in Touch

Every past client, kept for good.

Close a deal and the client’s year is planned: notes that sound like you, a gift and a call at the right times, and a Home Report every month that tells you who is ready to move.

Included in every plan. 7 days free to start.

  1. Notes in your voice, sent when you say.

Nadia drafts each personal note from what the client told you: the dog’s name, the yard, the kids starting school. It reaches you three days ahead; you change a word and approve it. Gifts, pop-bys and milestone calls are tasks with the why and an idea.

Kept a Client in the CRM: Olivia Bennett's birthday note waiting for Sam's OK, with a $25 coffee-shop gift idea and what he knows about her family, her dog and her plans for the yard.
Kept a Client on Sam's phone: five past clients, one card waiting, this month's touches and the Home Reports strip.
  2. A Home Report on the 1st of every month.

Each homeowner gets their home’s value and its likely range from the closest similar sales in your MLS, what they have gained since they bought, a 12-month trend and what sold nearby. In your brand, from you, with you one tap away.

Diane's Home Report on her phone: $478,000 with its likely range, $89,000 since she bought, a 12-month trend, and her agent one tap away.
  3. See who is ready to talk.

Home Reports shows who gets a report, who reads it and the value you are watching, then who looks ready to move and why. Diane read every report and asked what hers would sell for. One tap opens a listing pitch in ListLogic with her value, price and loan filled in.

Home Reports in the CRM: five of five past clients getting their report, an 88% open rate, $2M of home value watched, and Diane Whitfield ready to talk, with a Listing pitch button.
Ready to talk on a phone: Diane Whitfield's value, equity and the reasons she looks ready, with Call, Their report and Listing pitch.

More of Kept a Client

Every screen is the real product.

A year planned at closing.

A won deal becomes a closing and the client’s year fills in: the thank-you, the closing gift, a first-week check-in, the review ask, the 45-day call, a pop-by at 90 days, then their birthdays, the home anniversary and the seasons. After the first 90 days, one personal touch a month at most.

The Kept a Client program: three lanes (auto, approve, task), one personal touch a month at most, the gift budget, and the first year's touches.

What their home could do next.

Further down the report: the equity, when mortgage insurance may come off, what they would walk away with if they sold, what that could buy next, and a refinance note when rates fall well under theirs. A tap on any of it lands on your timeline.

Further down Diane's Home Report: her equity, a mortgage-insurance note, what she would walk away with if she sold, and what that could buy next.

How we are taking care of them.

Every past client’s page shows the plan, the report and every automatic email with its opens, so anyone on the team can see what went out and what is next before they call.

Everything in Kept a Client

The whole list. Each of these works today.

The first year

  • Closing-day thank-youDrafted from the deal, for you to approve before it goes.
  • Closing giftA task the day after with a budget (25 dollars unless your brokerage sets another) and an idea from what you know about them.
  • First-week check-in and review askA short text in the first week, and a review request at two weeks, each one yours to approve.
  • Help us celebrate youA link to a few questions: birthdays in the home, pets, interests, how often and how they like to hear from you.
  • Month-one checklistA branded email for new owners: the homestead exemption, utilities, the warranty, the locks.
  • The 45-day call and the 90-day pop-byTasks with the why and a suggested move, so the visit has a reason.

Every year after

  • Birthdays, theirs and the household’sTheir own, a partner’s, the kids’ and the pets’, from what they told you. A birthday note is never late: past the day it is dropped.
  • Home and wedding anniversariesA note on the home anniversary, and a call on the milestone years: 1, 3, 5, 10, 15 and 20.
  • The seasonsThe year ahead in January, spring and fall checklists, a summer note, back to school for families, a Thanksgiving thank-you and a holiday note.
  • Days that fit themNational Coffee Day for coffee fans, Dog Day for dog people, Pi(e) Day for bakers, and more, only where they fit.
  • Couples each get their own yearA spouse, partner or co-buyer linked to the client gets their own closing from the same deal, and their own birthdays and notes.

Home Reports

  • A monthly reportEmail and a page on the 1st: the value with a likely range, the change since last month and since they bought, and a 12-month trend.
  • Equity and optionsThe equity from the loan at closing, when mortgage insurance may come off, an estimated net if they sold, what that could buy next, and a refinance note when rates fall well under theirs.
  • The neighborhoodWhat sold and what is for sale near them, and the area in numbers.
  • Your value winsReview a home’s value yourself and your number is the one they see for a year.
  • Ready to talkHomeowners ranked by what they did: reading every report, asking what the home would sell for, looking at the next home. Each one has a Call, their report and a Listing pitch.
  • Market movesA past client’s home listed or sold with someone else becomes a call task for you.

Rules that keep it human

  • Nothing personal goes out on its ownEvery personal note waits on your approval. Only branded emails send themselves: the checklists and seasonal emails, the profile link and the Home Report.
  • A reply pauses the planA reply, a call or a question from the report pauses the next automatic touch for a week. Birthdays and anniversaries never move.
  • Their channel, their paceText or email, the way they asked. A client who wants a call gets a call task with the note as the script.
  • The brokerage sets the menuTurn any touch off, move it between lanes, set the gift budget and the sign-off.

Questions, answered

Does anything go to my clients without me?

Only branded emails: the checklists and seasonal emails, the profile link and the monthly Home Report, each with its own unsubscribe link. Every personal note waits for your OK, and you can move any touch to your approval.

Where does the home value come from?

From the closest similar sales in your own MLS data, adjusted for size and weighted by distance and how recent they are, with a range. If you review the value yourself, your number wins for a year.

Will my clients feel spammed?

After the first 90 days they hear from you personally once a month at most, or once a quarter if they ask. A reply pauses everything for a week.

What about clients who closed years ago?

Set them to Closed and add the closing date and price, and they get the same plan and the monthly report from today on.

Does it cost extra?

No. Kept a Client comes with the CRM in every plan.
